Terms & Conditions

These Terms and Conditions govern the rental agreement between you (the renter) and CAR-AKAS for the use of a rental vehicle. By renting a car from us, you agree to the following terms:

1. Driver’s Requirements

• The driver must be at least 24 and no older than 75 years old.
• Drivers aged 21–23 or over 75 may rent a vehicle with an additional charge of €25 per booking.
• A valid driver’s license held for at least 12 months is required.
• Non-EU license holders must also present an International Driving Permit (IDP).
• Only drivers listed on the rental agreement are allowed to drive the vehicle.
• Additional drivers may be added to the rental agreement for an extra fee of €5 per day per driver. Each additional driver must meet all driver’s requirements above.

2. Rental Period

• The minimum rental period is one day (24 hours) for all vehicle categories.
• After the 24-hour period, there is a 60-minute grace period.
• A delay of up to 1 hour after the agreed return time is allowed free of charge.
• After this 1-hour grace period, a late return fee of 20% of the daily rental rate will be charged for each additional hour.
• The maximum late return fee for the same day will not exceed the cost of one extra rental day.

3. Booking Deposit & Cancellation

• A 50% deposit is required to confirm your booking.
• Cancellations are accepted:
  • Up to 10 days before the pick-up date during the high season (April – October).
  • Up to 1 month before the pick-up date during the low season (November – March).
• No refund is guaranteed for cancellations beyond these periods.
• Cancellations made less than one month before the rental start date may not be eligible for a refund.
• Important: In the event of a cancelled ferry or flight due to weather conditions, the rental day will still be charged unless the renter notifies CAR-AKAS at least 3 hours prior to the scheduled pick-up time.

4. Fuel Policy

• The vehicle must be returned with the same fuel level as delivered (not necessarily full).
• If returned with less fuel, refueling and fuel costs will be charged.

5. Insurance

• Standard Insurance is included with all rentals and provides basic coverage according to the general rental terms. In case of damage, the renter is responsible up to the Excess amount, depending on the vehicle category.
• Premium Insurance is an optional upgrade that provides enhanced coverage for bodywork damage around the vehicle, side mirrors, headlights and tail lights, and tyre damage, provided that the damage is not on the sidewall. In case of an incident under Premium Insurance, a file handling fee of €75 applies for processing the claim with the insurance company.
• A Security Deposit is required for every rental, regardless of whether Standard or Premium Insurance is selected. The deposit amount is pre-authorized (not charged) on the renter’s card via POS upon vehicle pick-up and is released after the vehicle is returned without damage and without violation of the rental terms.
• No insurance covers:
  • Tyre damage on the sidewall,
  • Damage to glass / windows / windscreen,
  • Damage to mechanical parts of the vehicle,
  • Malicious acts or vandalism,
  • Damage to the interior of the vehicle (seats, dashboard, upholstery, etc.),
  • Any incident while the car is being driven by an unauthorized driver (not listed on the rental agreement),
  • Personal injury, including death, of the driver of the rented vehicle,
  • Damage or loss of the driver’s personal belongings,
  • Loss, theft, or damage of baggage or other items carried inside the vehicle.
• In case of loss or damage of the car key (including water damage), a fixed fee of €300 is charged.
• Security Deposit and Excess amounts per vehicle category, as well as detailed insurance coverage, are further described on the “Insurance” page of our website and form an integral part of these Terms & Conditions.

6. Traffic Violations

• The renter is fully responsible for any traffic or parking fines incurred during the rental period.
• An administrative fee may apply for processing violations.

7. Vehicle Use Restrictions

• Vehicles must not be used off-road, for racing, or for any illegal activity.
• Transportation of the vehicle outside Ikaria is not permitted without prior written authorization.

8. Accidents and Damages

• In case of an accident, the renter must contact CAR-AKAS immediately and fill out an accident report.
• Failure to report an accident or damage may void insurance coverage.
• Roadside Assistance Callouts: In cases where CAR-AKAS personnel are called out for roadside assistance due to customer negligence or misuse (e.g. forgotten keys, empty fuel tank, unnecessary calls), a service fee will apply. The amount will be calculated based on the travel distance and the nature of the call.

9. Out-of-Hours Delivery or Collection

• A fee of €25.00 applies for pick-up or drop-off outside our regular operating hours.
• Additional Location Charges (Evdilos Port):
  • Each route to or from Evdilos Port (vehicle delivery or collection) is charged at €30.
  • If the renter chooses vehicle pick-up at Evdilos Port → the charge is €30.
  • If the renter returns the vehicle at Evdilos Port → the charge is €30.
  • Total cost for both pick-up and return at Evdilos Port: €60.

10. Vehicle Condition

• Vehicles are checked before and after each rental.
• Renters must return the car in the same condition it was received, allowing for normal wear and tear.

11. Payment Policy

• To confirm your reservation, a deposit of 50% of the total rental amount is required.
• The deposit can be paid either by credit/debit card (online) via Viva Wallet.
• The remaining balance must be paid upon return of the vehicle, either in cash or by credit/debit card (Visa or Mastercard).
• A Security Deposit is required for every rental. The amount is pre-authorized (not charged) on your card via POS at vehicle pick-up and is released once the vehicle is returned without damage and without violation of the rental terms.
• Any additional charges, such as:
  • Fuel refueling costs (if the vehicle is not returned with the same fuel level),
  • Late return fees,
  • Damage not covered by insurance,
  • Excessive cleaning due to unusual interior dirt,
  • Loss or damage of accessories (e.g. GPS, child seats),
  • Loss or damage of the car key: €300 fixed fee,
  • Each additional driver fee: €5/day
  will be calculated and charged at the time of return.

12. Company Rights

• CAR-AKAS reserves the right to refuse service, cancel reservations, or replace a booked vehicle with a similar category if necessary.
